Time tracking for NetSuite

Every hour on the right project. Nobody chasing timesheets.

Crews clock in with a tap, or a scan where you post a code. Office staff and executives log a usual day in one press. People fix their own time until payroll closes, and approved hours post to NetSuite on their own.

How it works

Three ways to record time. Set one per person.

Crews on the floor clock in and out. People at a desk fill in hours, with their usual split already there. Everyone only sees the projects they are assigned to in NetSuite.

Crews and field staff

Clock in and out

Tap Start, switch jobs with a tap, and stop from the lock screen. Where you post a QR code, a scan puts them on that project and task in about two seconds. Codes are optional.

Office staff

Fill each day

A reminder at 4:30 PM shows their usual split. Press and hold, tap Log 8 h, done. Nudge any project by half an hour when the day was different.

Executives

Fill the week

The week arrives filled from their usual split, on the phone or the web. Check it, submit it. Weeks that match the usual split are approved on their own.

Fix it yourself

People correct their own time. Admins handle the rest.

Until the pay period closes, anyone can move hours between their own projects, fix a start or end time, or add time they forgot. Small changes save on the spot. Bigger ones go to the supervisor with both versions side by side.

Built for the whole crew

One product, three jobs done well.

For crews

  • Their own iPhone. No kiosk line at 6:59, no badge to forget.
  • Time off in a minute. See balances, pick days on a calendar, and see holidays already filled in.
  • Fix their own day. Move hours between their projects or add a forgotten half hour, right on the phone.

For supervisors

  • Exceptions first. Outside the site, missed punch, no scan. Clean days approve in one press.
  • Live board. Who is on shift, where, and on what, updated as people scan.
  • Act for anyone. Clock people in or out, switch their project or start a break from the team list. No code needed.

For admins

  • Less chasing. Small fixes and weeks that match the usual split need nobody. You see only what is unusual.
  • View the app as someone. Read-only, needs a reason, ends after 15 minutes, logged and shown to them.
  • An audit log nobody can edit. Every punch, change and approval, kept with who and why.

Optional QR codes

Post a code where you want proof.

Most people start with a tap. Where you need proof someone was at the job, post a code. Every code is signed, so it cannot be edited or forged, and it carries no personal data.

Printed labelNever changes. Easiest to post on a station or a crane rail.
Expiring labelStops working on a date you pick, such as the end of the job.
Rotating codeChanges every 30 seconds on a tablet at the gate, so a photo of it is useless.
Revoke any timeA project closed in NetSuite turns its codes off on its own.
Inside NetSuite

NetSuite stays the system of record.

A small SuiteApp adds one role, three fields on the time entry and an Oh! Thyme tab on employees and projects. Punches, codes and geofences stay with us. Approved hours land as normal time entries.

Least access. OAuth 2.0 with an integration role that can create time entries and read employees and projects. Nothing else.

Every hour traces back. Each time entry carries its Oh! Thyme event ID, so a retry never posts twice.

Sandbox first. Post a test week to your sandbox and compare totals before going live.

Checked every night. Approved hours and posted hours are reconciled per person, per project.

Questions

What people ask before a pilot.

Do we need to change how NetSuite is set up?

No. The SuiteApp reads your existing employees, projects, tasks, locations, departments and classes. It writes approved time as standard time entries.

What happens when a phone has no signal?

Punches save on the phone with their exact time and send once the phone is back online. Each one is sent exactly once, even if the app retries.

Do office staff have to clock in and out?

No. Set them to fill each day or fill the week. Their usual split is filled in, so most days take one press. They only see projects they are assigned to.

Do we have to use QR codes?

No. Crews can start their shift with a tap. Post codes only where you want proof someone was at the job, and a site can require one if you choose.

Can people change their own time?

Yes, until the pay period closes. Moving hours between their own projects and changes of 15 minutes or less save on the spot. Anything bigger goes to their supervisor with both versions.

Does it handle time off and holidays?

Yes. Balances and time-off types come from your NetSuite time-off plans, and holidays from each work calendar. Requests are approved in Oh! Thyme, and NetSuite adds the time entry once approved, so nothing posts twice. Sick time can be recorded without approval.

Does it work out overtime?

Yes. Every hour is sorted into regular, overtime, double time and premiums by your rules, with presets for California and federal law. Supervisors get a heads-up before overtime happens. Oh! Thyme does not pay anyone: pay types go to NetSuite payroll items or your payroll export.

Can people type in their time instead?

Yes. Anyone can open their week, pick a day and type the hours for each of their projects. A usual split fills a day in one tap. Submitting is a press and hold, and an admin can edit a submitted week or send it back to fix.

Which sign-ins work?

Microsoft Entra ID, Okta and Google Workspace, plus any SAML or OpenID Connect provider. Crews without a work email sign in with a code texted to their phone.

Can we automate reminders and approvals?

Yes, without code. Pick a trigger such as "still clocked in after the shift", add conditions, then choose actions like a reminder, a clock-out at the last activity, or an automatic approval. Test any automation on last week before turning it on.

How long does setup take?

Most companies connect NetSuite, print codes and run a sandbox week in one afternoon. Crews join from an email or text invite.

Setup

Live in an afternoon, not a project.

You do not rebuild anything in NetSuite. Oh! Thyme reads what is already there and writes approved hours back as normal time entries.

  1. 1

    Connect NetSuite

Install the SuiteApp, sign in once as an admin, and pick which employees use Oh! Thyme. Projects, tasks, locations, departments and classes come across on their own.

    About 15 minutes
  2. 2

Pick how each person records time

Crews clock in and out. Office staff fill each day. Executives fill the week. Change it per person whenever you like.

    Defaults set for you
  3. 3

Add sites, codes only if you want them

Sites come from NetSuite locations and project addresses. Draw a fence, pick how strict it is, and print a code for any station that needs proof.

    Optional
  4. 4

Run a test week in your sandbox

Post a week to your NetSuite sandbox and compare totals per person and per project before anything touches production.

    One click
  5. 5

    Invite people

A text or email with a link, a break room poster, or your company sign-in. Everyone is matched to their NetSuite employee record.

A day on the crew

What Maria's Friday looks like.

A welder on two jobs, on her own iPhone. Nothing here needs a supervisor.

6:52
Arrives at Riverside Yard

A reminder on her lock screen offers to start her shift. Location is checked once, right then.

6:58
Starts on Pump Station 4, Welding

One tap on a saved project. On a messy day she can clock in without one and split the hours later.

8:40
Ten minute paid break

From the Live Activity on her lock screen. A countdown shows when it ends.

8:50
Moves to Harbor Crane Retrofit

One tap, or a scan of the code on the crane rail. Hours land on the right task.

3:30
Clocks out

One press, no scan needed. If she worked past five hours with no meal break recorded, the app asks one question.

Later
Notices Wednesday is off by 20 minutes

She moves the hours herself. Same day total, so it saves with no approval.

Everyone else

The office, supervisors and payroll.

Office and executives

One press a day, or one a week

At 4:30 PM a reminder shows their usual split across projects. Press and hold to log it, or type different hours. Weeks that match the usual split approve on their own.

Supervisors

Only what is unusual

A live board of who is on what, and a list of exceptions: outside the site, a missed punch, a missed meal. Clean days approve in one press, from the phone, the web or a card in Microsoft Teams. A heads-up comes before anyone reaches overtime.

Payroll and finance

Hours that already add up

Approved days post to NetSuite every morning. Every hour is sorted into regular, overtime, double time and premiums. Closing a period locks it, and the totals are checked against NetSuite every night.

Where crews actually work

No signalPunches save on the phone with their exact time for up to 7 days and send once the phone is back online. Each one posts exactly once.
Lock screenA widget and a Live Activity show the running job. Change project, break or clock out without unlocking.
Apple WatchStart and stop from the wrist when your hands are full.
No phone on themA supervisor can clock a whole crew in or out from their own phone, with a reason on the record.
SpanishThe app, reminders and texts follow each person's language.
The webOffice staff and admins can do everything from a browser, no phone needed.
Why it matters

Most timesheet fixes are small, and should not need anyone.

Forgot to switch jobs, logged lunch a bit late, missed the last half hour. In most tools that is an email to a supervisor and a re-key in payroll. Here the person fixes it, inside limits you set, and the original stays on record.

Just save

Worked on the wrong project

Move hours from one of their projects to another. The day total stays the same, so it saves on the spot.

Just save

Lunch ran 10 minutes long

Change a start, end or break by 15 minutes or less. Saves on the spot, and the supervisor can see it in the day's history.

Supervisor approves

Forgot to clock in

Add the missing time with a reason. The supervisor sees the request with the day's punches beside it.

Supervisor approves

Forgot to clock out

A reminder goes out after the shift. If nobody answers, the shift ends at midnight and the supervisor sets the right time. The person confirms it.

Supervisor approves

A day already approved

Changes go back to the supervisor with the approved version and the new one side by side.

Just save

Clocked in without a project

Start the clock now and split the hours across projects later in the day. The split has to add up to the hours worked.

Supervisor approves

Worked on a day off

Swap time off for the hours actually worked. The rest stays as time off, and the balance is given back.

Supervisor approves

Away when the week is due

A week covered by time off and holidays can be submitted up to 4 weeks early, together with the time-off request.

Payroll approves

A week already paid

The person asks for a correction. It posts as a separate entry on the next paycheck, so what was paid is never edited.

What the supervisor sees

Before and after, with the reason.

No hunting through punches. Each request shows exactly what changed, why, and what it does to overtime. Approve, ask a question or decline, from the phone or the web.

Your limits

You decide how much people can change.

Start with the defaults and tighten or loosen them per company. Every setting is in the console under Policies.

How longUntil the pay period closes, until the day is approved, or never on their own.

Other people's editsWhen a supervisor or admin changes someone's time, that person confirms or disputes it.
The recordOriginal punches are never deleted. Every change keeps who, when and why, and the person can see it.
What gets installed

A small SuiteApp. Nothing on your forms.

No scripts run on your transactions, and no fields are changed on existing records. Uninstalling removes everything it added.

One role

Oh! Thyme Integration

Signs in with OAuth 2.0. It can read employees, projects, tasks, locations, departments, classes and time-off plans, and create time entries and time-off requests. Nothing else.

Three fields

On the time entry

The Oh! Thyme event ID, how it was recorded (tap, scan, typed, supervisor) and a link back to the original punches.

Two subtabs

On employees and projects

On an employee, how they record time and their app status. On a project, whether it shows on phones and its codes.

How hours post

Every morning, one entry per person, day, project and task.

Approved days only. At 6:00 AM approved days post as time entries. Unapproved days wait.

Exactly once. Each entry carries its event ID, so a retry or a reconnect never posts twice.

Billable and pay type. Billable comes from the project. Overtime, double time and premiums map to your payroll items.

Corrections, not edits. A fix after posting adds a correcting entry. What was posted stays as sent.

NetSuite questions

What your NetSuite admin will ask.

Does it replace NetSuite timesheets?

For the people who use Oh! Thyme, yes. Their approved hours arrive as standard time entries, so reports, billing and project costing work as they do today. Anyone else can keep entering time in NetSuite.

What if a project closes in NetSuite?

It disappears from phones within 15 minutes and its codes stop working. Time already recorded on it still posts.

What if a post fails?

It retries on its own and you get an alert. The NetSuite page in the console shows every sync, and nothing is lost while it waits.

Can we see who changed an hour?

Yes. The link on the time entry opens the punches and every change, with who, when and why.

Does it work with SuiteProjects or Advanced Project Accounting?

It writes standard time entries on projects and tasks, which both use. Talk to us about your setup and we will test it in your sandbox.

The fine print, in plain words.

What counts as a user?

Anyone with at least one punch or one hour entered that month. Someone who clocked in once still counts as one user.
